Volunteer Zoom Meetings Coordinator

Job Summary:

We are seeking a dedicated and detail-oriented volunteer to join our team as a Zoom Meetings Coordinator. As a coordinator, you will play a crucial role in planning, organizing, and managing Zoom meetings for our organization’s events. Your contributions will not only help create a seamless virtual experience for our participants but also position you for a potential paid position as our business grows.

Responsibilities:

  • Collaborate with the event team to understand the objectives and requirements for each Zoom meeting.
  • Schedule Zoom meetings, ensuring appropriate time slots and availability.
  • Send meeting invitations to participants, providing necessary login details and instructions.
  • Coordinate with guest speakers or presenters to schedule their participation in the Zoom meetings.
  • Manage participant registration and track attendance during Zoom meetings.
  • Set up and test Zoom meeting settings, including audio, video, and screen sharing capabilities.
  • Monitor the meeting chat and address participant inquiries or technical issues.
  • Record Zoom meetings when required and ensure proper storage for future reference.
  • Provide technical support and troubleshooting assistance to participants, as needed.
  • Follow up with post-meeting tasks such as sharing resources or materials discussed during the meeting.

Requirements:

  • Strong organizational and time management skills.
  • Familiarity with the Zoom meeting platform and its features.
  • Excellent communication skills, both written and verbal.
  • Attention to detail and ability to handle multiple tasks simultaneously.
  • Tech-savviness and ability to troubleshoot technical issues.
  • Flexibility to accommodate changing meeting schedules and requirements.
  • Ability to work independently as well as collaboratively within a team.
  • Sensitivity to the needs and diverse backgrounds of participants.
